ACE Clinical Request Excel Import Rules

The first row in the excel contains column names and that should never be modified or changed.

Import process will not work if any of those column headers are changed.

Column Notes

ID The import process does not use this column. But, it must exist in the

excel.

ClinicalAgency REQUIRED - Name of the organization must exactly match with what is

configured in myClinicalExchange for your school.

Facility OPTIONAL - If an org expects you to select a facility and submit the

request, enter the facility name here. The name must match exactly

with what is configured in myClinicalExchange

RotationProgram REQUIRED - This is the “Program” that you select against “Rotation

Details” in the request page for the select organization. Here again, the

name must match exactly with what is configured in

myClinicalExchange.

RotationType OPTIONAL – If specified, must exactly match with “Rotation Type”

values in myClinicalExchange against the selected organization.

Semester OPTIONAL – Must be exact match on values configured for your school

Year OPTIONAL – Must be a 4-digit year

StartDate REQUIRED – Start date of rotation. Enter it in MM/DD/YY format

EndDate REQUIRED – End date of rotation. Enter it in MM/DD/YY format

StudentCount REQUIRED – Number of Openings being requested

TotalHoursPerStudent REQUIRED – Rotation total hours per student

CourseNumber OPTIONAL – Course code for which the request is being submitted. If

Course was not found, system will create that record and associate it to

the request

StudentProgram REQUIRED - This is the “Program” that you select against “Student

Details” in the request page. Here again, the name must match exactly

with what is configured in myClinicalExchange for your school.

Cohort OPTIONAL – Student cohort for which the request is being submitted. If

the specified Cohort was not found, system will create that internally

and associate it to the request

ObservationRequest OPTIONAL – The import process will transpose this information into the

comments column while creating the request.

ObservationHoursRequired OPTIONAL – The import process will transpose this information into the

comments column while creating the request.

ClinicalArea OPTIONAL – This is the department that you select in the “Rotation

Details” section of the request. The value you enter here must match

exactly with what is configured in myClinicalExchange for the selected

organization.

Unit OPTIONAL – This is the Unit that you select in the “Rotation Details”

section of the request. The value you enter here must match exactly

with what is configured in myClinicalExchange for the selected

organization.

Shift The import process does not use this column. But, it must exist in the

excel.

Monday – Sunday REQUIRED - This is the where you specify the day of the week and the

shift hours. Format should be A##. A is where you specify Day, Evening,

Night or Flexible. ## is the hours. If you are requesting day shift, 8 hours

per day, specify D8. If you are requesting Flexible 12 hour shifts specify

F12, etc. If a specific day of the week is not required, do not enter

anything against that column

Holiday REQUIRED – Specify N/A if no holidays in your request schedule. If you

do not need placement on specific days within the date range specified

above, enter them here. Individual dates must be separated by

commas. Example: In your request, if the system should not request

Thanksgiving Day and the day after thanksgiving, you will enter

11/22/18, 11/23/18 in this column. Dates must be mm/dd/yy format.

SchoolComments OPTIONAL – Comments that you want to submit to the organization.

AgencyResponse The import process does not use this column. But, it must exist in the

excel.
